Key Responsibilities:
  • Oversee daily administrative operations, including managing office supplies, equipment,       and facilities.
  • Coordinate and schedule meetings, appointments, and travel arrangements for senior  management.
  • Manage correspondence, including emails, letters, and phone calls, and handle inquiries  promptly and professionally.
  • Prepare and distribute reports, presentations, and other documents as required.
  • Assist in budget planning and expense tracking.
  • Supervise and train administrative staff.
  • Maintain confidentiality of sensitive information and ensure compliance with company policies and procedures.
  • Support senior management in various administrative tasks as needed.
  • Proactively identify areas for process improvement and implement efficiency-enhancing  initiatives.
  • Perform other duties as assigned.
Skill Sets Required:
  • Organizational Skills: Ability to efficiently organize tasks, manage time effectively, and  prioritize responsibilities.
  • Communication Skills: Strong written and verbal communication skills for effective interaction with colleagues, clients, and senior management, as well as for drafting documents.
  • Attention to Detail: Thoroughness in maintaining accuracy in administrative tasks such as data entry, document preparation, and record keeping.
  • Problem-Solving Skills: Capacity to identify issues, analyze situations, and develop practical solutions to address challenges.
  • Technical Proficiency: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and familiarity with administrative tools and systems.
  • Interpersonal Skills: Ability to build relationships, collaborate with team members, and provide excellent customer service.
  • Leadership Skills: Capability to lead, motivate, and mentor administrative staff in fostering a positive work environment.
  • Confidentiality: Discretion in handling sensitive information and maintaining confidentiality in dealing with confidential documents and employee records.
  • Adaptability: Capacity to adapt to changing priorities, work demands, and organizational needs in a dynamic work environment.

Qualifications:
  • Bachelor's degree in business administration or related field preferred.
  • Proven experience as an administrative assistant or in a similar role, with at least 3 years of  experience.
